Explorer
The Document Management can allow users to view recently accessed documents, files and folders marked as favorites, and repositories that they have access to. An advanced search function is also available on the home screen to help users quickly access a specific document. Also, users can view the contents of the repositories they have access to.
Getting Started
The Document Management home screen is the entry screen of the module. On this screen, users can view recently accessed documents, files and folders marked as favorites, and repositories that they have access to. An advanced search function is also available on the home screen to help users quickly access a specific document. s After logging into the Document Management module, the home screen is automatically displayed. You can return to this screen by clicking the Home icon while navigating through the module.
Features
The Recent, Favorites, and Repositories panels on the screen display a number of files and directories. You can click on the links at the bottom of the panels to access the corresponding lists.
Recent
This panel lists the documents that the user has recently accessed. By clicking the links in the list, the files can be viewed.
Clicking on the All Recent Documents button at the bottom opens the Recent Documents list in the file system. This list shows all the documents recently accessed by the user.
Various view options are available for documents on the screen. In the top-right corner, the documents can be viewed either in list view or card view.
Favorites
This panel lists the folders and files that the user has marked as favorites. By clicking on the links in the list, the user can quickly access the files or folders marked as favorites.
Clicking on the All Favorites button at the bottom opens the Favorites screen where all favorite documents and folders are listed. This list shows all favorite contents belonging to the user.
Using the view options in the top-right corner, documents and folders can be viewed either in list view or card view.
Repositories
This panel lists all the repositories the user has access to. By clicking on the repository names, the user can quickly access the contents of the respective repository.
Clicking on the All Repositories button at the bottom opens the Repositories screen where all the repositories the user can access are listed. This screen also allows the user to access the file system through the repositories based on their permissions.
In the repositories screen, repositories can be displayed in either list view or card view using the view options in the top-right corner.
Indexing
Indexing is a process performed to enable faster and more efficient search of the content of added documents. If an OCR (Optical Character Recognition) processor configuration is present, the document content will be processed by OCR and can be searched through the content. Clipboard
When files and folders need to be moved, copied, or shortcuts created, they can be added to the clipboard for easier processing. See Clipboard documentation for more details.
File Index Report
The document index report is a detailed report showing the indexing status of all documents in the system. This report provides information about whether documents are indexed or not, their file types, tags, and total size. The processing time for generating the report may vary depending on the number of documents in the system. The system can still be used while a new report is being generated. Document Search Filters and Options
Search Options is a screen that allows users to search document titles, contents, and metadata. With basic and advanced search options, users can quickly and thoroughly filter results to find the desired documents efficiently. See Document Search Filters and Options documentation for more details.
